About the role
The Project Administrator (Document Controller) supports the site team by handling all administrative and document‑control tasks. You will ensure that project documentation is accurate, up‑to‑date, and readily available for audits and inspections.
Key responsibilities
- Assist the site team with general administrative duties and processes.
- Maintain staff deployment lists, contact directories, and organisational charts.
- Prepare monthly site reports, manpower reports, and administrative summaries.
- Receive, file, and distribute project documents while maintaining registers, logs, and tracking lists.
- Ensure document version control, confidentiality, and security.
- Manage the Project SharePoint and ISO filing system.
- Schedule project meetings and prepare minutes.
- Coordinate resources, inventory, and logistics such as PPE, stationery, equipment, and software.
- Set up staff biometrics, monitor attendance, and manage onboarding/off‑boarding.
- Support audits, inspections, and internal quality reviews.
Required profile
- Diploma in Business Administration or a related field.
- 2–3 years of experience in project administration, document control, or site administration, preferably in construction, engineering or infrastructure.
- Experience supporting project teams or technical departments.
- High integrity, strong attention to detail, and ability to maintain audit‑ready documentation.
Required skills
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Experience with SharePoint and ISO filing systems.
- Familiarity with biometric attendance and HR/admin tools.
- Knowledge of LTA InSight (advantage).
